If you are a serving staff member this means you have a user profile. HR made it for you at some point, when shifting from previous Staff Selection Systems.

What you can do, and it’s advisable, is to make sure that everything is accurate in your profile. Postal address being one record to check first.

The mailing address may be the same or different from the home or permanent address, but it’s important to have all clearly detailed, to avoid confusion and missed mails.

Make sure that all is complete and correct. Sometimes the zip code is the problem, and makes it difficult to save your changes. A Staff Member who is an applicant may update his profile, except for Last Name, First Name and Date of Birth.

If you have problems with this the HR department is the one to solve it for you. They have access and they can update. There are at least 193 nationalities working for UN, sometime mistakes in spelling correctly happen. (...)

We have already seen briefly how this works with our exercise profile. After you register to Inspira you can Login and then you can go to Main Menu - Careers and the Careers Home Page Appears.

There you go to My Profile tab and fill in the information in the required sections:
• Personal Details
• UN Employment
• Family Details
• Nationality and Residence

Each section will have a profile when it has enough information to be considered complete, and you can see the percentage of completion of your profile.

The Personal Details section contains
- Biographical Information
- Telephone Numbers, and
- Address Details

The Biographical information is mainly the one you inserted during registration. And non-staff members are able to edit everything here, except the Name.

You cannot change your Name Prefix, Given Name, Middle Name, Family Name and Other Name if applicable. We already discussed about using the information you have in your passport for this, or if not available in your National ID.

The following fields can be changed by non-staff members.
a. User Name - displays your user name created during the registration process.
b. Password - displays the encrypted version of your password created during the registration process.
c. Primary and Alternate E-mail - displays
d. Primary and Alternate E-mail - displays the E-mail address you entered upon registration.
e. Date of Birth - displays the date of birth you entered upon registration.
f. Gender - displays the gender you entered upon registration.

Note here that your primary address will be used by UN in corresponding with you and login to inspira. Remember this in case you forget the login USER of Password.

In the telephone numbers section you can enter the telephone numbers in international format where you can be reached by the United Nations. You can provide more than one and you are expected to update as often as changes appear.

The Address details refer to permanent residence, typically in your home country as defined by your legislation, irrespective where you reside currently. (...)

In this section you will give details on your work history, education, degrees and qualifications.

This information is used for pre-screening, so be as accurate as you can be. If you don’t remember when you started your job 5 years ago, check before writing a date.

Do the same with your education. Maybe some details you forget. It’s normal, check before completing your profile. You will be evaluated based on this information, so don’t limit your chances by approximating dates, names, and so on related to your work experience.

If you pass the assessments and interviews, appointment is subject to satisfactory and complete verification of education and work details.

Verification on the information stated in these sections is undertaken for candidates under closer consideration. If your references are checked you are going to be notified.

To add your education and work details:

Click on the Education and Work Experience button, the Education and Work Experience page appears.

First section is UN Employment, if applicable. This indicate if you are currently employed or you have been an employee of UN.

Use the UN Employment Status menu and fill in the information required. There will be drop down menus asking you for details. Just follow on.

A note, here, try to give details in reason for separation, but keep it neutral. For example: Maybe you resigned and you feel the need to add for personal reasons, or for other career priorities.

But, avoid explanations like bad management or not satisfied with work. I don’t know… The negative side of a job we all have to face now and then. Maybe that was your experience, but this is not helping your applications.

If you finish with your UN employment history, you can start adding your other work experience.

Click on the Add Work Experience button. The Add Work Experience page appears. If you held more than one position with the same employer, enter each position separately.

Complete the following sections about your current and past employers. Starting with your present employer, list every position held in reverse chronological order.

Duly complete all fields and indicate every employment held from age 18 and higher - including service in the armed forces and internships. Note any period during which you were not gainfully employed.

In Inspira you can prepare an application when you apply to a job opening, and later on you can use it as a template.

Or, you can draft and save one or more fully or partially completed draft applications without applying for a job opening.

 After you login to Inspira you will access your Careers Home page. If you are external applicant form Main Menu to Careers, if you are a staff member form Main Menu - Self- Service, Recruiting activities and then Careers.

 The average time to complete your application, first time is between 90 and 120 minutes if you have about 4 work experiences. If you have more add some time for this and also for education if you have more than the average applicant.

I spent 3 hours first time, and about the same total number of our in time to refine my profile. But I get 3 - 4 invitation every months for an assessment or for an interview, which is not bad at all since I don’t make more than 8 - 10 applications.

Next you click on create Draft Application and the Apply Now page appears. If your profile is not complete, remember, you cannot make an application.

On the Apply Now page confirm that you are informed on the application process and its implications. (...)

Next you add all your UN training responding to all the information requested, and repeating steps for all the UN trainings you may wish to list, and at the end you click on save.

In the next section of your application you will be required to give at least three persons as references who can give details about your work history and qualifications.

Here you can list colleagues, supervisors, mentors, professors, and so on. Do not list family members or personal friends.

Choose well and ask before nominating somebody that knows you from a professional perspective as a contact person. You want to be sure that the recruiters will have positive feedback.

The fields in this section are self explanatory, nevertheless there are many examples where contact details are missing.

And the explanation for this vary from “I never new contact details from my former boss after he left the job where he new me”, from “I gave the details of the agency I worked for Isn’t this enough?”.

Be as precise as you can here, and update. Make contact if a reference is so important and update, or change references if even you lost contact.

Enter the contact details where the reference wants and can be contacted. This might be different from the home or employment address.

Save, after each reference and repeat for as many references as you might want to add. There is not maximum limit, but more than 5 updated references you don’t need.

Next we are going to discuss the part that is meant to catch the interest of the recruiter, and help him focus on what’s relevant and interesting about you.

A cover letter should be brief, three to four paragraphs of 4 - 6 lines each maximum. Not more than 3/4 of a page anyway.

And, your Cover Letter should be as targeted as possible to the position for which you are applying.

Of course you can have one you can modify. But adapt it, don’t make one for all potential applications.

Contents for the cover letter should focus on the most relevant parts of your background that relate to the job opening.

Some try to squeeze too much and this makes the cover letter difficult too understand, some make it way too long.

In the Cover Letter section, describe how your experience, qualifications and competencies match the position for which you are applying.

Try to have 4 sections in 4 paragraphs:

One. Where you express your interest for the job and give the most relevant reason for you being the best candidate.

You can freely apply on Inspira to as many jobs as you feel qualified. Even for the jobs where you need to be on the roster to apply. You will get a warning, but you can apply.

Of course you have chances if you match the profile and if you respect the rules, but the system is not restricting you.

Once you identified an interesting job, you can open the job opening, review it and start the application process.

You will submit your complete profile and application with the cover letter to apply for a job. And, we have seen how this works.

There are to alternative to submit your application depending the application form version that you want to use.

If you want to use the latest version of your saved application, fro the job opening click on the Apply Now link, and you will be redirected to your latest application, after the login step.

You can use this and modify for your new application without problems. You will have new pre-screening questions and to update your Cover Letter.

Managing your application is not at all complicated in Inspira. You just go to the Careers Home Page and you choose a view to expand or shrink the list you work with. And, if it’s a sent application basically follow status.

Nevertheless, I would spend some time on Managing multiple draft applications, Withdrawing an application and withdrawing yourself from a roster. But also Placing your Roster Status on Hold.

You can use, in Inspira, multiple drafts for multiple categories of jobs without applying immediately. You will be in this way prepared for different types of job openings, to ensure that you have precise and effective applications.

You will find your draft applications in the list of Applications, sometime hidden 3 month before in the list. So you need a bit of patience here.

If this is linked to an application. It’s easier to find. If not and you have more it might be confusing to choose between 12 drafts, named No Job.

After you choose one application continue as we have seen together in the previous video lessons. Delete draft applications that you don’t use.

To withdraw from a job application you are using the same Careers Home Page - Applications and click on Withdraw my application.

I’ve seen cases when people clicked on this by mistake, said yes by habit and they could not apply again for that job. So, if you click on it mean it. If it’s by mistake, don’t confirm. (...)

 Once an applicant passes pre-screening his application is sent to the Hiring Manager on a daily basis within the posting period. Roster applicants who are interested by the position and apply, are sent as a priority to the Hiring Manager.

This means that a preliminary evaluation of the applicants may be conducted while the job opening is still active. But, only after the expiration of the deadline assessments can be conducted by the Hiring Manager with the assessment panel.

The best candidates will be invited for a Competency Based Interview. And, this assessment will aim to determine which candidates meet the technical requirements and competencies for the job opening.

The Hiring Manager will have the responsibility to choose the most appropriate methods to measure knowledge and experience for the position. Roster applicants will be considered immediately for a position. They might have a discussion with the hiring manager. But rostered applicants can get the job quickly.

It might be that more suitable roster applicants will be recommended for the position at this stage and they will need to go to the Competency Based Interview. And, since all all the job openings are urgent, rostered applicants, will be selected as soon as possible, if the job is advertised for “rostered applicants”.

As said before, if you are not on a roster you can still apply but chances are minimal. So, best in this case is to apply for positions that will put you on different rosters that interest you. If you pass this assessment you will go to the next phase, the CBI. And, at least an assessment, a CBI if not both will be organized.

The evaluation of applicants is a process that follows common standards within UN Secretariat.
To ensure a fair and predictable selection process it is clearly established how evaluations, assessments and interviews are conducted and recorded.
Which doesn’t mean that you will not find now and then some recruiter asking you questions in an interview that are completely outside the CBI procedure.
It happens and if you prepare your assessments and interviews you will greatly improve your chances to ace every question.
To speed up the process, the hiring manager can start analyzing applications while the job opening it’s still active.
This means checking if the applicant meets all or most of the requirements against the evaluation criteria in terms of:

  • Academics
  • Experience
  • Language.

But, no assessment will start while the job opening it’s still active and the notification that all the eligible applicants are released to the Hiring Manager for evaluation.
During this preliminary evaluation each applicant will be reviewed and rated in the three before mentioned area: Academics, Experience, Language.
There is a template which allows a standard evaluation for all the applications, and next the most suitable applicants are invited to an assessment exercise by the Hiring Manager.
 If you would meet the required qualifications but not the desired ones, you would still be on the long list, but only the candidates who fit also with the desirable qualifications will be on the short list.
The assessment might be in the form of:
- knowledge-based tests or other simulation exercise, and;
- competency-based interviews;
The assessment of applicants for positions involving significant functions in the management of financial, human and physical resources as well as information and communications technology shall also take into account the relevant criteria included in the job opening.
The Hiring Manager will keep records for the evaluation of applicants against the evaluation criteria with proper references to documents available.
The review should compare applicants against criteria not against one another.

United Nations Jobs Guide - Using the Job Opening Link on the Careers Portal

You don’t need to register, and you don’t need to login to Inspira to perform this search. Staff or non-staff, search here is easy and simple. This one would be one of the search options we discussed in the previous lessons.

To use the Job Opening link in Careers Portal, you first go to the portal and scroll down. It’s somewhere on the middle of the page on the right side of your screen, under the How do I apply column. Then you click on this link. The Job Openings page appears, and you can perform your search using the predefined search categories.

The page has navigation buttons if search gives you many results. To understand search categories used by the UN Careers Portal: a. Job Title contains the posting title of the position which links to the job description details.

You will see this details after you choose one of the results; b. Level refers to the grade level of the position - Here UN has specific levels Professional and Higher Categories, Field services, General Services, and Internships. You will see in the next video more details about these staff categories.; c. Job ID is a unique number assigned by inspira to every job opening. You might received it from a friend and and you specifically want to look for one job;

d. Job Network refers to groupings of job families; e. Job Family refers to the occupational group or sub-group to which the position belongs. This guides your search. Explore first the job networks and families before choosing the right one for you; f. Department/Office indicates the department/office of the position you might look for. You can leave all or choose one.

g. Duty station specifies the location of the position - if you prefer one specific duty station; h. Deadline refers to the date when job openings posted on the Careers Portal are taken off (by midnight of deadline date). (...)

United Nations Jobs Guide - Job searching on Careers and Inspira

Although they might be aggregated to other websites, the official UN Secretariat Job Openings are published on the Careers Portal. And, you can search for jobs using the Careers Portal or Inspira. Other web searches might land on the same jobs you will find here, but be careful to the quality of the job opening details on non-UN websites.

If you are interested and there is a link you will be redirected to Inspira, anyway. But to avoid being impressed by an overdue job advert found somewhere else, I would advice to bookmark and use Inspira directly. It’s up to you of course, and remember in Inspira you need to be logged, to have a personal profile, to be able to make your job searches.

But I guess you are not doing this for fun, so you will finally make a profile and apply. Both are equally good, Careers and Inspira Platforms, and use the same database. But, your options are different, as a Inspira user compared to simple Careers Platform visitor.

 In Inspira, you can: - track your applications; - track your roster memberships (and I think that we should have a lesson on roster memberships) - search jobs by criteria, not only by category; - very useful, save your search criteria as a Job Alert and have results sent to you periodically in an e-mail; - complete the application in advance, in draft mode, for potential future applications; - select and modify previous applications (if they are not sent and under review), and finally, and - create a new application when applying to a job opening using the apply now button.

And again, don’t forget, read carefully the applications.

It’s one important step some of us tend to take to easy. All the information there, you are going to use when completing your application. You will avoid in this way applying for posts for which you are not really qualified. (...)

We have already briefly explored UN Careers. Basically here we find jobs offered by the United Nations Secretariat. Not the agencies, not NGO-s, not any other international organization.

And If I was not very clear before, I want to make it clear. The 44,000 civilian staff I was referring to is only the part under the umbrella of the UN Secretariat. It sounds a lot but compared with the operations it’s not that much.

Here on the Careers Portal you are going to find also general information about UN, UN’s operations, careers in the United Nations, and self explanatory showcases of UN staff members telling the story of their recruitment and career.

On the Home Page you will find also a language button to display the contents on the Careers Portal in French or English. The most important sections of the site, and I invite you to explore them, are the one about UN career options and the job search engine.

Very simple, the job search functions like this: Input a category. Say professional. P3 - level. On management and operations support, Human Resources Family. Leave all at Department/Office menu. And, don’t change the rest if you have no preferences. Click search and you will have your results.

You can choose your own preferences and you can also create alerts. But for this we need to go to Inspira. You see that you don’t need to have a profile to search for jobs, you will be redirected to Inspira to apply.

Click for example on the first result and you will be redirected to a window that describes the job. And we are going to discuss job descriptions in a later lesson. You have here the option to apply or to e-mail to a friend if you might have one interested.

If you click “Apply now” you will see the Inspira login window. You can register, by pressing “Register Now”, Contact the admins or change to French and back. If you have therefore a login you don’t need one

Next we are going to discuss registration, login and support. For now let’s use one random ID and see how the landing page looks, after login. The landing page will be different if you choose apply now and continue. But let’s see this one for now.

 You have a simple menu bar with “Favorites” where you would normally find your [alerts] and “Main Menu” which can take you to “Learning”, “Jobs” or “Rosters”. You have a “Basic Job Search” with links to “Advanced Search” and “Job Alerts”. You have also a “Consultant Opportunities” Section if you are interested. And your list of “Latest applications”.

You can use “Career Tools” to create a draft application, but this we are going to do together in a different lesson. If still in doubt you can consult the “Quick Help Links” see the Manuals or seek assistance for technical issues.

Not a fancy page for an important reason. This is for people living in the whole world, so it’s designed to be useful for low-speed as much as for high speed networks.

Search will work the same as before, we are not going to see that again. If you click on your applications you can see them, without having the possibility to change once sent.

Easy UN Jobs Mapping

We are only going to focus on one platform. But from the beginning you should know that there are a number of other websites that you can use. One very used is unjobs.org, a Swiss Association, not an official website of the UN. Here you will have UN Jobs but also other Non-UN and International organizations.

On the good side, it’s almost everything in one place. But, applying will require profiles adapted for every specific organization. Which means going on a website and spending hours to create a profile. But this will help you find specific job sites for UN agencies and other organization. You can index them and later on develop profiles and alert and apply consistently.

But this is not our focus. This is just to make it clear that using UN Careers platform is one step on which you can build. For instance, using this larger platform unjobs.org, you can follow along and find jobs.undp.org for UNDP or erecruit.ilo.org for ILO. And in the same way you can do for NGOs and other international organizations.

But first I would suggest to focus on UN Careers Platform. Build a strong profile and use this for all the other platforms, with the necessary changes. Most of them only in format but necessary. The idea behind is that after you have a profile built as advice by UN Human Resources, you can apply the same logic and the same good practices and have a consistent approach.

If in time you’ll have more profiles, don’t forget to update them with the same information. It sound obvious, but I know examples of different dates in different CV-s, or Personal History Profiles as they are called in UN. Two other important platforms wold be one maintained by a UN entity https://jobs.unicsc.org and the UNV platform https://ereta.unv.org which is also very useful for a young professional.

Now, let’s go back to our main point of interest. If you go to job opening you will find here the available job. After you build your profile you’ll be able to use this for applications after minor changes, mostly in the cover letter.

Next we are going to see the actual job platform that power careers.un.org. We are going to Inspira. With this we are going to work. Here we build the profile, here we see status of application, here we can also get training. And, this is also used by staff of UN, with different access credentials and for different functions. The recruiters are using the same system to manage the recruitment process.
